On-ground exhibition services
Trade show DMCs provide the operational backbone for exhibitors and delegations:
- Stand design and construction: Custom and modular stands, stand allocation, branded environments, signage, meeting rooms built within the stand, storage areas and much more. The services these agencies offer include design, building, installation, and dismantle (I&D).
- Exhibition logistics: Freight services to and from the venue, customs clearance for materials that enter the EU, storage, and drayage (moving materials within the exhibition hall). Local companies handle floor plans, power connections, and rigging for overhead elements.
- Staff management: Multilingual hosts, interpreters, registration staff, product demonstrators, and security professionals. All sourced locally and briefed by the exhibitor.
- Hospitality and side events: These agencies can also arrange and plan client dinners, VIP receptions, press briefings, and product launches even if they run alongside the exhibition (see Corporate Events companies).
- Delegate management: Pre-event registration, on-site badge issuance, visitor flow management, lead capture, and app integration. The exhibition organiser handles the show; the DMC handles your delegation's experience within it.
- AV and technology: In-stand AV infrastructure, LED walls, interactive displays, product demo stations, and live streaming from the stand.
Where the trade shows happen
The major exhibition cities in Europe built their reputation in this field by hosting some of the largest and most specialized trade fairs in the world. Here are the most famous examples of cities and respective event venues:
- Frankfurt: Messe Frankfurt has hosted major events such as Automechanika, Light + Building, and the Frankfurt Book Fair.
- Munich: Messe München has been responsible for world-renowned trade fairs such as Bauma, ISPO and Electronica.
- Düsseldorf: Messe Düsseldorf has hosted Medica, drupa and ProWein, which are some of the largest trade fairs of their fields.
- Milan: Fiera Milano has housed countless events of global relevance like Salone del Mobile, EICMA and Host.
- Barcelona: Fira de Barcelona is the place to go for Mobile World Congress (MWC), ISE and Smart City Expo, among other major events.
- Amsterdam: RAI is where events as big as IBC, Interclean and TEFAF are hosted with comprehensive structure and modern equipment.
- Paris: Paris Expo and Villepinte are two of the major event venues in the city. They have hosted SIAL, Maison&Objet, and the Paris Air Show.
- London: ExCeL is the British reference in this field. This event venue has been used for DSEI, World Travel Market, and BETT.
All eight offer large exhibition capacity, dense hotel stock nearby, and strong airport connections.
Common trade-show scenarios
Four situations account for most trade-show DMC engagements:
- First-time exhibitor: Companies exhibiting at a European show for the first time need extra support in terms of full stand design, logistics coordination, and local regulations and venue-specific requirements they haven't encountered before.
- Multi-show circuit: When the company plans brand exhibits in multiple cities across Europe, it requires consistent stand design adapted to the facilities and space available in each venue.
- Visiting delegations: Corporate groups who will simply attend the event, without exhibiting, need support with transportation, hotel arrangements, general hospitality, and meeting scheduling.
- Side events: Hosting dinners, product launches, press briefings and other activities parallel to the main exhibition requires careful planning to avoid scheduling conflicts and tight transfer windows between venues.
